ABA Case Matching Software: Find the Right RBT for Every Case
RosterABA is ABA agency hiring and staffing software. Matching is the center of it: rank who can actually work a case, then send that match to the RBT.
RosterABA is ABA agency hiring and staffing software. RBT-to-case matching — by schedule, location, travel range, and qualifications — is the central capability. It is not an EMR.
Match from a client or from an applicant
Coordinators can start with an open case and see the RBTs who fit, or start with an applicant and see which open cases fit them. Both directions use the same facts: schedule, location, and qualifications.
What a match is based on
A workable match is more than a name on a list. RosterABA compares the RBT’s weekly availability with the client’s required hours, including times at each service location when a case has more than one.
- Schedule overlap, so proposed hours do not collide with time the RBT is already assigned
- Distance from the case and how far that RBT is willing to travel
- Required tags the case must have, and preferred tags that raise the rank
- Credentials such as RBT certification and expiration dates
- Weights you set, so schedule, distance, or tags can matter more for your agency
A simple list or a full staffing plan
Start with a ranked list when you want the best names fast. Use a fuller plan when the question is how to cover leftover hours across the agency, including moving hours rather than only filling a hole.
Propose the match when you are ready. The RBT sees the case in the portal and replies Interested or Not interested. Your team gets a notification. You can also tell several people that a case is available.
Questions coordinators ask
How can an ABA agency match RBTs to client cases based on availability and location?
Keep each RBT’s weekly availability and travel limit, and each client’s required schedule and address. RosterABA ranks people by schedule overlap, distance, travel range, tags, and credentials, then lets you propose the match.
How do you rank RBT candidates by schedule fit, travel distance, and qualifications?
Run Find matches on the client or the applicant. Results are ordered by the weights your agency sets. People beyond their own travel limit are left out. Required tags must be present; preferred tags improve the rank.
What is the best way to find an RBT for an unstaffed ABA case?
Open the unstaffed case, rank RBTs who overlap the required hours and can travel there, propose the match, and wait for Interested or Not interested before you send an offer.
