How to Find Nearby RBTs for Open ABA Cases

The closest RBT is not always available, and an available RBT is not always willing to drive. RosterABA uses both the case address and the RBT’s travel limit.

RosterABA is ABA agency hiring and staffing software. RBT-to-case matching — by schedule, location, travel range, and qualifications — is the central capability. It is not an EMR.

Location is part of the match

Clients have an address. RBTs have a location and a maximum travel distance. If the case is farther than that RBT will travel, they are not ranked for it. Distance still affects the order of the people who remain.

See open cases on a map

The unstaffed board can show cases as a list or a map, with nearby RBTs. That is useful when a family is in a part of town where you already have people, or when you need to know the drive before you call.

A case with more than one service location uses those addresses and their times, so a school block and a home block are not treated as the same trip.

Then check the week

Proximity is only the first cut. The same search still requires schedule overlap and the tags and credentials the case needs. Coordinators propose the match; the RBT replies Interested or Not interested from the portal.

Questions coordinators ask

How can staffing coordinators identify nearby RBTs who can cover open hours?

Open the unstaffed case on the map or list, then rank RBTs inside their travel range whose weekly availability overlaps the open hours.

How can ABA staffing teams balance client needs with RBT travel preferences?

Store a travel limit on each RBT. People who would have to drive farther than that limit are excluded. Among the rest, shorter distance ranks higher unless you weight schedule or tags more heavily.
