ABA Workforce Management: From Open Hours to Assigned Cases
Workforce management here means knowing who is hired, who has hours left, which cases are open, and what has been offered — not writing session notes.
RosterABA is ABA agency hiring and staffing software. RBT-to-case matching — by schedule, location, travel range, and qualifications — is the central capability. It is not an EMR.
One plan across leftover hours
Matching one case at a time can book the same RBT twice. Auto-plan builds one coordinated set across leftover hours. You review individual proposals, save an agency-wide plan, and work plans that are still in progress.
Offers, then assignments
Send an offer to the RBT by link. Send one to the family when the agency needs a family yes. Status is sent, accepted, declined, expired, or cancelled. Assigned hours record the weekly blocks and the setting: home, school, clinic, or community. End an assignment when the RBT leaves, hours change, or the family asks.
What owners can see
Capacity shows booked hours against available hours. Weekly calendars show each RBT’s assigned week. The dashboard summarizes new applicants, hires, days from application to hire, how long unstaffed cases have been waiting, and the share of RBT hours that are booked.
My work pulls attention items, today’s follow-ups, notifications, and authorizations ending in the next 14 days into one list.
Questions coordinators ask
How can ABA agencies manage RBT availability, offers, and assignments in one system?
Availability lives on the RBT, offers go out from a saved plan or match, and assignments store the weekly hours. The unstaffed board drops a case once those hours cover it.
How can ABA providers improve RBT utilization across multiple cases?
Compare available weekly hours with hours already assigned, then fill leftover time from the agency-wide plan instead of staffing each case in isolation.
